How to properly switch between different QuickBook files

If you are a client that uses multiple QuickBook files, please follow these steps to switch from one file to another:
  1. When you are ready to switch, go up to File at the top left corner of QuickBooks.
  2. Click on Exit.
  3. QuickBooks will then close.  
  4. Please use the shortcuts that we have created for you on your server desktop.  
  5. Double click the QuickBooks shortcut you would like to open.
  6. Enter in your user name and password.
If you are missing a shortcut, please let our support team know, and we can create that for you.  

By following the steps above, it will help in keeping your file's integrity.

Changing Display settings from a Mac

If you want to customize your display settings for the server, while working on a Mac, please follow the instructions below:

1. Open Microsoft Remote Desktop
2.  Select the connection that you wish to edit the display settings for.
3.  Select Edit
4.  For the Resolution, select the desired resolution that you would like.  If you aren't sure what resolution you need, select Native.
5.  Colors:  select Highest Quality (32 bit)
6.  Full screen mode:  select OS X Native.
7.  Select Start session in full screen
8.  Select Scale content.

Once you have finished changing the settings, close this window.

Go ahead and connect to the server.  Once you are logged on, move your mouse to the upper right hand corner of the screen.  The white menu bar will appear.  Click on the blue button at the end.  This will take the server from full screen mode and make it a window.  You will now be able to resize the window to the desired size.

Having access to your local Mac from the Server to save files

If you want to have access to your Mac desktop and files, follow these instructions.


Open Microsoft Remote Desktop,



          1. Select Redirection
          2. Make sure that Enable folder redirection is selected
          3. In the lower left hand corner of the window, select the + button.
          4. A window will pop up. Write in a name for the location, ex. Desktop

          5. In the Path field, click on the down arrow button. Select Browse. A finder window will pop up, asking for you to tell the program where to find the location. Locate the folder/drive that you would like to share with MRD, and click Choose.

          6. Click OK

Allow printing from Server to your local printer

If you want to print from Microsoft Remote Desktop (MRD), follow the steps below:

1.   Open Microsoft Remote Desktop,



          1. Select Session.
          2. Select Forward printing devices.


Go ahead and close this window.  Then select the server connection and press Start.  You should be able to print to your local printer.  Note that it may take a minute for the information to get to your printer, but it will work.

New Remote Connection software for Macs

Microsoft came out with a new version of their software for Remote Desktop.  

Click HERE to view it.  You will want to download it from the App Store on your Mac.  Once you have it installed on your Mac, this will enable you to connect to our Server, use QuickBooks and print to your local printer.  

Now that its installed, open up Microsoft Remote Desktop (MRD).  It will be in your Applications folder.  

If you have been using the old version of Microsoft Remote Desktop, the files will work with the new version of Remote Desktop.  
To do that, you want to import the file:  
1.   With MRD open, go to the menu at the top of your screen and click on File. 
2.   Then select Import. 
3.   A finder window will pop up, asking you to locate the .rdp file that you have been previously using.  Select the file, and click Open.  You should be able to use the file now.  


If you want to create a new connection in Microsoft Remote Desktop (MRD), follow the steps below:

1.   With MRD open, click on the NEW button.

2.   A window will pop up, asking for all of the details of the connection.  Enter the following information:

     a. Connection Name: BIB Server
     b. PC Name: mac.blueisleasp.com
     c. Gateway: No Gateway configured
     d. User name: type in roro\ then enter your username here
     e. Password: enter your password here
     f. Resolution: You can set the resolution here for the size of the window that you will be working in. If you are unsure, select Native.
     g. Colors: Highest Quality (32 bit)
     h. Full Screen Mode: OS X native
     i. If you want your server desktop to take over your current Mac desktop, make sure that the first check mark is selected (Start session in full screen)
     j. Select Scale Content. This will allow you to resize your screen without loosing any resolution or having limited access to your remote desktop.
     k. Unselect Use All Monitors
     l. If you want to have access to print from MRD to your local printer, follow these instructions, otherwise move onto stem M.

          1. Select Session.
          2. Select Forward printing devices
     m. If you want to have access to your Mac desktop and files, follow these instructions, otherwise move onto step N.

          1. Select Redirection
          2. Make sure that Enable folder redirection is selected
          3. In the lower left hand corner of the window, select the + button.
          4. A window will pop up. Write in a name for the location, ex. Desktop

          5. In the Path field, click on the down arrow button. Select Browse. A finder window will pop up, asking for you to tell the program where to find the location. Locate the folder/drive that you would like to share with MRD, and click Choose.

          6. Click OK

     n. All of your settings automatically save, so you can now click on the red dot in the upper left hand corner of the window.
     o. You will now see the server connection that you just added. Select it, and press the Start button.
     p. Your Remote Session should start.
     q. You may be prompted to verify a certificate. If so, you want to view the Certificate.


     r. Say always trust.

     s. You will then be asked for the username and password on the Mac computer for verification that you actually want to do this.

     t. Once you press Update Settings, you should be good to go!

QuickBooks 2014 New Features

All Versions of QuickBooks 2014 for Windows 

These changes will be found throughout all of the US desktop versions: Pro, Premier and Enterprise:


User Interface Changes

The color and layout are some of the largest changes for an upgrade for QuickBooks. Here are some of the most important changes:

  • There is a new icon cluster in the upper right corner (may be called the “Global Access Bar”?), with icons for:
    • Reminders and To-Do’s.
    • Maintenance alerts.
    • Client Collaborator, a new feature that I’ll describe later.
  • You can customize the View Balances tab in the left navigation bar – a feature that many people have asked for.
  • The ability to copy and paste detail lines in transaction forms (useful!)
  • Contextual reports: In many transaction windows the Reports tab has been filled out with icons for reports that apply to that transaction.
  • Search Auto Suggestions: The Search window has been improved so that it suggests good matches for the term you are entering.
  • Company Information is now My Company: We’ve always had a Company Information window under the Company menu – the name has changed to My Company and the window has undergone an overhaul. It should be easier to find what you need, and see what apps you have.
  • No more “My Apps” in the left navigation bar. At first I thought that this was an indication of their pulling back from App Center integration, but no, it isn’t that. Now it is the “Your Apps” section in the new My Company window.

Email Improvements

Here are some of the improvements to Email:

  • The Customer Center now has a tab for Sent Email, where you can see a history (of sorts) of the emails that you have sent to a client from within QuickBooks.
  • You now have the ability to send a customer payment receipt via email.
  • The entire send email feature has been overhauled so that you have more control over the message that you send out from QuickBooks, at least for users of Web Mail.

Job Costing

There are a number of changes here to fine tune the Job Costing feature in QuickBooks – an area that many people use.
In all versions you will see:
  • Sales Reps on Jobs: You can specify a sales rep for a job, not just for the customer.
  • Job Status Filter: You can filter many reports by job status.
In addition, in Enterprise, there are a couple of differences:
  • You can customize bill, check and credit card transactions to add the Sales Rep as a column.
  • There are two additional job costing reports: Job WIP Summary and Committed Cost by Jobs.

Bank Feeds

This is one area where cloud accounting products have advanced beyond QuickBooks desktop versions. Bank Feeds is the new Online Banking feature in QuickBooks 2014.

Miscellaneous Changes

There are a lot of changes scattered about that will be found in all of the versions – I’ll just summarize them here.
  • Income Tracker: This is a great dashboard-like tool that lets you look at open invoices, overdue invoices, unbilled estimates and more. There is a very configurable spreadsheet format list. This replaces the Collection Center.
QuickBooks 2014 Income Tracker
  • Bill Payment Stub: Now the stub will show if the bill is paid entirely with credits.
  • Bounced Checks: We had it, we lost it, and now it is back again better than ever! The ability to easily process bounced checks.
  • Fit report to x pages HIGH: When you print a report you now have the option to fit it to a number of pages vertically, where before we just had the ability to fit it horizontally.
  • Performance Improvements: I’m going to have to say that I can’t verify this from my own tests. I haven’t been working with a really large company file, and I test on a “virtual machine”, so speed comparisons are tough to make. Intuit claims that with this release QuickBooks opens faster, windows open faster, and you can toggle between editions faster. We’ll have to see…
  • Add/Edit Multiple Lists: This feature has a Find function – this year they have fine tuned this by adding a check-box for Search within results which should be helpful if you have long lists to work with.
  • In the Billable Time & Costs window in Premier, you now have the ability to sort the records by clicking on a column heading. This was added to Enterprise V13 in the R8 release, but apparently it wasn’t added to Premier until the 2014 release.

QuickBooks Enterprise

Intuit continues to add higher level features in Intuit QuickBooks Enterprise V14, adding to the level of sophistication of the product and making it more useful to inventory related businesses.
  • Maximum Stocking Levels: You now can specify a maximum quantity on hand in addition to the reorder point (also referred to as a minimum quantity on hand) in the item list. With Advanced Inventory this can be set by site.
  • Improvements for Assemblies: Intuit is ramping up the features for manufacturers with this release, with a number of VERY interesting changes:
    • The ability to build nested assemblies.
    • where-used query.
    • Assembly Cost and Price Rollups if your component costs change.
  • New Job Cost Reports: Enterprise adds two job cost reports – Job WIP Summary andCommitted Cost by Jobs.
  • More Customization Options for Checks, Bills and Credit Card Charges: This is neat – you can add columns to the detail sections of these transaction forms. You can add the sales rep and ”custom fields”. The values you enter in the transaction can be shown in certain reports.
  • Simpler Item Editing: There are now some fields that you can edit for an item in the Inventory Center without clicking the edit button.
  • Markup or Margin: Now we have both, when editing inventory parts and assemblies.

Payroll

The Payroll Center has been rearranged. Instead of just the three major blocks of info stacked vertically in one window you now have a separate tab for each area, and this allows them to put a LOT more information in there. More links to reports and functions, more information to show you the status of your payroll process.
